How Long Does an Office Fit-out Take?

12 November 2025

Picture your office as a theatre production: you’ve booked the hall, auditioned and hired the cast, and you’re ready for opening night. But before the curtain rises, there’s a whole backstage world of set-construction, rehearsals and lighting checks.

Stepping up to an office fit-out is a whole other ball game, only this time it’s the place where your team spends a large portion of their lives, brainstorming ideas and typing away on their computers. When the team behind the project is Ultimate Fitouts, we’re not just rearranging cushions, we’re also doing carpentry and so much more. So, how long does it take?

In this blog we’ll go through what to expect and what to watch for that could delay your project.

Planning & Design: Don’t Run Before you can Walk

In our experience, the planning and design stage can take a month or two on average. During this time, we’ll talk with your team, map out how people move, what they need, and explore what can be done in the space available. If you skip this step, like skipping measuring the room before adding new tables, you might end up with desks that don’t fit and staff who bump into each other on the way to the toaster.

Approvals & Procurement: Don’t Lean Things on the Wall Before the Paint has Dried

Next comes the legal and logistical steps: these often include getting approvals from landlords or local councils, building permits, sourcing materials and coordinating contractors. This can take about 4 to 6 weeks. It’s the part where you silently sigh, “Why can’t the chair just show up now?” But, like waiting for that custom desk to be built, getting the right approvals prevents issues that might have you pulling your hair out down the line.

Construction & Fit-out: Where You Start to ‘See’ Progress Being Made

Cue the hard hats and the drills. In this phase we get to work ripping out wall linings, shifting and installing power points, putting partitions in place, sorting cabling, and bringing in furniture. This can take around 8 to 12 weeks for a full commercial fit-out. Think of it like renovating your kitchen while still trying to cook dinner: it’s noisy, you might have to shuffle desks around, and ideally, you’re trying to keep the core business going with minimal disruption.

Final Touches & Handover: Don’t Switch on the Lights Without Putting the Right Bulb in First

Once the heavy work is done, it’s time for inspection, quality and checks, signage, cleaning up, and making sure the thermostat and power points work. This can take a fortnight to a month, in most cases. Only then do we hand over the keys, so you can move your team in.

What Might Put a Spanner in the Works?

Even the best-planned projects hit the occasional speed bump. Here are a few classic culprits that can slow down your fit-out timeline:

  • Last-Minute Design Changes:Someone on your team (or ours) might have a spark of inspiration to squeeze in that guest couch you wanted. It’s great for creativity, and problem solving, but not for timelines!
  • Unexpected Finds: Old wiring, uneven floors or dodgy plumbing can suddenly appear like plot twists in a renovation drama.
  • Supplier or Delivery Delays: Some items take longer to arrive than expected from Brisbane all the way to your office in Melbourne. Not to mention, your driver may have to take a more scenic route to reach you depending on road closures and other obstacles that could turn up on route.
  • Unclear Communication: When decisions hang in limbo, progress does too. Keeping all stakeholders in the loop saves a lot of back-and-forth. We aim to keep everything and everyone on track by having back-up plans in place and communicating well with those involved.

Advice to Keep Timeframes Realistic and Stress-Levels Low

  • Start Early: Lock in design decisions before demolition or ordering materials.
  • Budget Extra Time: It’s tempting to say, “we’ll wrap in 8 weeks”, but have contingencies in place if it runs over schedule.
  • Communication is Key: We’ll let you know if there will be any disruptions so you can plan around them where necessary.
  • Partner With the Right Team: A fit-out company that understands your world (and your timeline) can make a huge difference.

At Ultimate Fitouts, we understand the juggling act, balancing design ambition with business continuity. If you’re ready to plan your next space and want a timeline that makes sense, we’re here for it and for you. Get in touch with our team here to get started.
